A rep told me this week: "Marcus, I can't get organized anymore. Every time I plan my day, something urgent pops up and I'm back to firefighting." I get it. It feels like you're always reacting. Never proactive. Here's the problem: Most of what feels urgent isn't actually important. And most reps spend their entire day doing things that don't make them money. Here's how to fix it: #1 Use the Eisenhower Decision Framework Four quadrants: → Urgent + Important = Do it now → Not Urgent + Important = Schedule it → Urgent + Not Important = Delegate or delay it → Not Urgent + Not Important = Delete it Most of what lands in your inbox is urgent but not important. Customer emails. Internal Slack messages. Random meeting requests. If you wait an hour to respond, the deal won't die. But if you constantly interrupt your deep work to respond immediately, you'll never get the important stuff done. #2 Time block your high-value activities Don't use "soft blocks" in your head. Use actual recurring calendar blocks marked as BUSY. For example: Monday & Wednesday, 9-12: Deep work research on accounts Every day, 4:30-5:00: Admin wrap-up (email, CRM updates, plan tomorrow) When those blocks are on your calendar, people can't book over them. And you're forced to protect that time. #3 Batch your admin work Don't let admin bleed into your entire day. Block 30 minutes at the end of each day to knock it all out at once. Check email. Update CRM. Plan tomorrow. Done. #4 Ask: Is this truly urgent or does it just feel urgent? Someone wants to jump on a call right now. Your gut says "I have to take this or I'll lose the deal." But will you actually lose the deal if you push it by two hours? Probably not. Is this more important than the deep work you're doing right now? Probably not. Most "urgent" things can wait. But we've trained ourselves to react immediately to everything. Your time is your most valuable asset as a salesperson. Every hour you spend on low-value work is an hour you're not spending on high-value work. Deep work on your accounts. Prospecting. Moving deals forward. Closing pipeline. That's what makes you money. Everything else is noise. Block your time. Guard it. Say no to things that don't move the needle. Here are my top three suggestions for getting MORE done in your business in LESS time. But first, a reminder. To scale from six to seven-figures it requires two things: 1. Relentless discipline 2. Ruthless time management “Productivity killers” like: - Task switching - Checking every time you get a new notification - Trying to work for long periods of time without breaks - Lack of priorities (business and personal) - A subconscious need for instant gratification - Comparing yourself to others in your industry - Over consuming content - Staying in education mode - Shiny Object Syndrome - Trying to operate your business like someone who is 10 steps (or years) ahead of you ...will keep you at revenue plateaus. Here are 3 things I recommend if you want to reach the next level of growth. 1. The Eisenhower Matrix The Eisenhower Matrix, also known as the Urgent-Important Matrix, is a time management tool used to prioritize tasks based on their urgency and importance. It is named after Dwight D. Eisenhower, the 34th President of the United States, who is said to have used this principle to organize his tasks. When working with clients, I use this tool to help them identify and prioritize tasks, focus on Quadrant II activities (the activities crucial for long-term success and growth), delegate or automate Quadrant III tasks, limit time on Quadrant IV tasks, and regularly review and make adjustments to how they are spending their time. And I see the greatest growth and success from the clients who stick with using this tool. 2. Efficiency and the Echo Dot No, this isn’t a new invention by Bezos. But it is something that I started last year which MASSIVELY improved my time management, reduced my stress, and allowed me to see where I was wasting time and getting off track. I bought an echo dot and put it on the credenza behind my desk. I started setting timers for everything I did. You’re probably thinking that doing this would cause low-level anxiety, and you would be right. At first it did. But I stuck with the discomfort and over time I began to rely on this little device because it transformed my ability to focus and to be efficient and effective with how I was spending my time. 3. Theme Days Everyone has heard of time blocking your calendar…but are you harnessing the power of Theme Days? Theme days are a time management and productivity strategy where each day of the week is dedicated to a specific type of work or theme. This helps in organizing tasks and activities more efficiently, ensuring that different areas of work get focused attention. By allocating days to specific themes, you can create a more structured and focused work schedule. I used to fall for it myself—juggling acquisitions, managing teams, checking emails, reviewing budgets—thinking I was being “productive.” But in reality? I was creating friction. Every time I switched tasks, I was forcing my brain to slow down and ramp back up. If you want to scale—whether you're running your first property or managing a growing portfolio—you need clarity, not chaos. Here’s what I’ve learned (and now live by): 7 Ways to Stay Laser-Focused and Move the Needle: 1. Ditch multitasking. It's the fast track to burnout and inefficiency. 2. Apply the 80/20 Rule (Pareto Principle). Identify the 20% of actions that drive 80% of your results—and double down on them. 3. Time-block your calendar. Schedule deep work for your most valuable priorities. 4. Protect your “focus zones.” Turn off notifications, close tabs, and let people know when you're not available. 5. Identify your “big rocks.” Tackle your highest-leverage tasks before handling small stuff. 6. Review your results regularly. Are you moving toward your goals—or just staying busy? 7. Lately, I've been hearing the same thing everywhere: ~ "I’m way too busy." ~ "What a crazy week, just non-stop." ~ "There’s so much going on." Sound familiar? Being "too busy" isn't necessarily a good thing. Working 12+ hour days just to check off tasks? That's not what's going to move your business forward. Here are a few game-changers: 1. Block out time daily for your revenue-generating activities. 2. Hit your prospecting goals every single day, no matter what. 3. Stick to your calendar at least 80% of the time. 4. Identify the top 3 tasks that MUST be done each day (and don’t overdo it). 5. Close your email and turn off notifications (check email only twice a day). 6. Put your phone on 'Do Not Disturb' during focused time blocks. 7. Keep your daily task list manageable—aim for 6-10 items max. If you’ve got these systems in place but aren’t sticking to them, you should get an accountability partner, that changes everything.
